How to perform a Batch VEVO Search via External Source

The Batch VEVO Search function enables you to perform a Visa Entitlements Verification Online (VEVO) search for multiple individuals in the one process by importing data from an external source. The following article sets out how to perform an External Source Batch VEVO Search.

Important: Your ImmiAccount must have VEVO search enabled in order for this function to work. If you do not have VEVO search enabled you need to contact the Department of Immigration to have this feature made available on your ImmiAccount.

The Batch VEVO using an External source report function is accessed via the Tools window. You use the External Source Batch VEVO to import an externally generated list of all of the people that you want to perform a Batch VEVO search on to identify the visa they currently hold. The following article shows how to prepare an external source template, import the external source data into MM, perform a VEVO search for individuals with a temporary or bridging visa, confirm an individual's Australian work rights, and export the results in an Excel spreadsheet.

1. Importing external source data Click the Tools button

Hover over Batch VEVO, and select VEVO: External Source

The Excel Batch VEVO is intended as a stand alone search tool. No data or documents will be stored as a result of the search. You will be alerted to this. Click OK to continue.

1.1. How to generate a template for the External Source Batch VEVO

To generate a template for your External Source Batch VEVO, click on the Generate Template button in the top menu.

An Excel spreadsheet will open with the required headings to make the process easier when importing the external data for the External Source Batch VEVO.

Save the template to a safe location on your computer and commence collating the data in preparation for the next step.

Please ensure that all columns contain the relevant details to ensure that you will be able to successful run the VEVO check process for each individual. Any blank columns may result in an unsuccessful result for the VEVO check.

1.2. Import your external data file

When you have prepared your external data source Excel file, return to the External Source Batch VEVO section (Tools > Batch VEVO > VEVO: External Source as demonstrated in point 1).

To import your external data source file, click on the More button in the button left side of the window.

Select Import Excel from the pop-up list.

Locate where your external data source is saved, select the file to import, and click Open.

The spreadsheet you import must have exact titled column heading names. If these names are not exact, you will be presented with an error message. Click OK and correct any errors, and re-import your file. Exact column headers are as follows:

  • FamilyName
  • GivenNames
  • DateOfBirth
  • PassportCountry
  • PassportNumber
1.2.1. Take note of any issues & take action

In order for the VEVO search to be able to be performed on a given person, they must have the requisite bio and passport data available and recorded in the external data file. If the report does not show sufficient details, a pop up will appear notifying you of how many Matters do not have sufficient details.

At this point you can either carry forward with the search, which will exclude the individuals with insufficient information, or you correct the details in your external source data file, save it to a safe location on you computer and carry out the data import process as outlined in point and re-import.

2. Running the Batch VEVO process

2.1. Select the individuals to include in the Batch VEVO run.

By default, all matters with sufficient information will be auto selected. Any matter that has insufficient information will not be selected.

2.2. Initiate the Batch VEVO process Click 'Perform VEVO Searches'

Click the green Perform VEVO Searches button in the bottom left-hand corner.

MM will now proceed to logon to your ImmiAccount and perform a VEVO search for each of the individual in your report based on the information in the external data source file. You will see a progress bar across the bottom of the window indicating how the search is progressing.

Note - the speed of the search will be affected by the speed of your internet connection and how efficient the Department of Immigration's VEVO search system is operating at the time of the search.

3. The Batch VEVO Results

When the search has completed, a window will appear with details of the search results and a summary of the results. The results grid also includes a colour coded response to show you what has happened:

  • Green - Successful. The search was successful and the results obtained from VEVO show that no information indicating that circumstances are different to what has previously been recorded in Migration Manager;
  • Yellow - Variation Detected. The search was able to find a match for the person in VEVO, but the results that were returned are different to the information either currently stored in the Visas table or that were captured during a previous VEVO Search;
  • Red - Unsuccessful. The search was unable to find this person in VEVO or there was an error with their results.
  • Blank - No search was performed for this person. Insufficient information to perform a search.
3.1. Review Search Results

3.2. Choose to Export results to an Excel File

You can export the results data by clicking the Export to Excel button in the top menu.

Migration Manager

Rename the Excel Export data file and save it to a safe location on your computer.

3.3. Deleting the Exported Data file in MM

If you do not wish to have any data in MM, you can easily delete the exported data spreadsheet in the Exported Data folder in MM.

Right-click on the file and select Delete.
