How to do a Batch Import for a Report Source Batch VEVO

Prior to running a Report Source Batch VEVO process, you can bulk import connections (Staff) to a Business Sponsor client in the Batch Import process. The Business Sponsor client type is used for preparing and conducting applications such as Subclass 482 Sponsorship and running compliance VEVO checks for temporary or bridging visa employees. These instructions set out how to create a Batch Import template, and demonstrate how to do a Batch Import for Compliance processes, including a Report Source Batch VEVO.

1. Preparation of the data file for the Batch Import

1.1. Generating a Batch Import Template

You can quickly generate a Batch Import Template to help you get started.

Click on the Tools button in the top menu, Batch Data Import from the drop-down list, and Import People to Existing (Business) Client Files to the right.

 

In the top left-hand corner, press Generate Template.

This action will generate an Excel spreadsheet with the following headings-

  • Add To (Client File ID)
  • Connection Type (Level of Detail)
  • Given Names
  • Family Name
  • Gender
  • Date of Birth
  • Passport Number
  • Passport Country
  • Staffing - Job Title

Save this Excel spreadsheet to a safe place on your computer and start to collate the data in preparation for the Batch Import.

1.2. Loading the data and create the mapping settings for the Batch Import

Prior to the import, review the Excel spreadsheet to make sure it includes all the information you need for your reporting purposes. Save it to the safe location on your computer.

To import the data file, click Load Data in the top menu and select your saved data file.

1.3. Allocate the mapping settings

In the headings drop-down list, select the relevant mapping field for each column.

1.4. Saving the mapping settings for future imports

Once you have allocated all headings for your import, you can save these settings for future Batch Imports. You can do this by clicking Save Mappings in the top menu and list a reference name for the settings.

1.5. Confirmation of data imported

When the data has been imported, you will see a pop-up that confirms that the import has completed. Press OK.

To check that the data has imported correctly, open the Business Sponsor client file and select Connections in the left-hand side panel

Then select the Staffing tab and Staff History from the drop-down list.

In this panel, you should see the information that you have imported.
